SENJA EXPERIENCE BOOKING POLICY AND TERMS OF SERVICE

Please read the following terms and conditions before making a reservation. It is important to both parties that you understand this agreement in relation to your use of Senja Experience AS. All travel products available at Senja Experience AS are compliant with Norwegian legislation and regulations. Demands made beyond the said legislation and regulations may be forwarded by Senja Experience AS as an enquiry, but cannot be considered to be part of the contract unless accepted by the supplier.

When booking, the customer (and all the people that booked with you under the same booking) automatically agree to the following Terms and Conditions.

Please note that You must be at least 18 years of age to make a reservation with Senja Experience. If you are under 18 you must be accompanied by an adult.

Booking /Contract

Read the confirmation you receive from Senja Experience AS carefully. It is the buyer’s responsibility to make sure that the order is correct. The confirmation is our contract, and it is important that you, the customer, make sure that it is in accordance with your order. Any comments must be made immediately.

Payment confirms acceptance of these conditions. Senja Experience AS advises customers to print out the confirmation and take it with them on their trip.

You must be at least 18 years of age to make a reservation with Senja Experience AS. Some product owners/suppliers/partners may impose a higher age limit, in which case they will provide notification of this when you order.

Payment and refunds

You have to prepay the products that we sell with a card payment (Visa, Mastercard, etc) unless otherwise stated. Your card will be charged after you have entered the necessary information. Refunds take 3-7 business days before it reaches your card after our approval. Refunds have to be sent back to the card that was originally debited.

Tour Provider Conditions and Cancellation

The following applies to all products or services booked with Senja Experience AS. These terms also apply to package tours, and it is your responsibility to read them.

You are responsible for complying with any supplier-specific conditions in relation to check-in times, reconfirmation of flights, or other matters.

Activities

Cancellation of individual activities:

  • We require full payment when you are booking your trip.
  • All bookings should be confirmed
  • Cancellation less than 7days prior to departure will be charged 100%
  • Cancellation from 7 days to 21 days prior to departure will be charged 60%
  • Cancellation 21 days or longer prior to departure will be charged 15% because we spend many hours every day, because of last minute cancellations, trying to find replacement, mainly because people book many days to be sure to see lights, and if they see lights the first day, they often want to cancel the rest of the days. This work cost us a lot of time and money.
  • The payment will be charged to the registered credit card.
  • Cancellation can only be done by email to the email address: booking@senjaexperience.com
  • “No Shows” will be charged 100% (no show also includes showing up after meeting time)
  • Senja Experience AS reserves the right to resell tickets of guests for no show.
  • For groups and special arrangements, we have other booking terms, please ask for details.

 

Cancelation Policy by Senja Experience AS

We reserve the right to cancel the trip if:

  • external influences like weather conditions make it impossible for us to guarantee the safe conduction of the programs, there is less than the minimum number of participants joining, for weather-related reasons, other unexpected events that will force us to cancel the tour (such a problem with the vehicle or sickness of the guide).

In this cases, you can either chose to reschedule the tour (if it is possible) or opt for a full refund. Also, we are doing our best to ensure correct availability, however overbooking and technical errors with our booking software may occur. In such cases, we will notify you as soon as possible. At the same time, we reserve the right to cancel your reservation and refund the cost. In such a case we will do everything in our power to help you find a similar tour with a different supplier or reschedule your booking.

Groups

The online booking system can handle orders of maximum 7 guests in one booking. For booking more than 7 guests you may do so in 2 or more separate orders. You can also contact us via telephone/WhatsApp or email for booking larger groups.

Liability

Senja Experience AS employees, owner, agents, and partners take no responsibility for:

  • Our customers negligent or willful acts that lead to their own or others death, personal injury, loss or damage to their and others property.
  • Delays or interruptions of the tour due to naturally occurring events or road accident, illness within the tour group or any other unforeseen events that we had no control over.
  • For any others person`s or company’s acts that will lead to delays/changes in arrival or departure of flights.
  • Situations when a third person need emergency assistance (for example road accidents or illness).
  • We are also not responsible for customers expenses caused by road accidents, nature-made accidents, terrorism, broken equipment or other unforeseen events.
  • Senja Experience has the right to change routes, itineraries or timetables without prior notice if it is necessary.

All such losses and expenses are the personal liability of the customer. If there is damage done by the customer to the property of Senja Experience, which could have been avoided, the customer will be held responsible.

Making Amendments to Your Booking

Any amendments made to your booking are treated as cancellations and subsequent new bookings – please refer to Cancellation of your Booking.

The Supplier’s/TS’s Right to Cancel / Make Amendiments

Circumstances over which we or our product owners (suppliers/partners) have no control, e.g. weather conditions, breakdowns, labour disputes and the equivalent (force majeure) may result in cancellation/amendment.

Should such cancellation/significant amendment occur, the organizers will provide the customer with immediate notification. If the customer cannot accept any suggested alternatives on the spot, he/she will be given a full refund after Senja Experience AS has been notified by the product owner/supplier/partner.

Activities

We require a minimum number of at least two participants on each tour, if there is only one person booked on the activity on a particular day or time we may have to cancel the tour. In this case we will offer a place on an alternative activity, a different day, or the person must pay the price of 2 people for the tour, or a full refund of the tour costs.

Given that tours are all outdoors, our activities are weather dependent.

In case we need to cancel an activity due to the weather conditions (eg. lack of snow or avalanche risk) we will offer you place on an alternative activity or a full refund of the tour costs.

Please provide information about any allergy, relevant health conditions or special needs you may have when you make your booking.

Included in the price of a trip we provide equipment needed for the activity, but not the clothes. Remember to bring warm wind and waterproof clothes and boots, as well as a hat and mittens/gloves on all our tours. You can rent clothes from us, but this needs to be arranged separately in time before the tour starts.

You need to meet at the start point latest 10 minutes before the departure.

Senja Experience AS liability insurance can be reviewed on request however you must be sure that your own insurance covers costs of the medical treatment or emergency services you may require during your holidays.

Make sure that you follow the guide`s instruction, otherwise our the insurance will not cover your possible injuries or damages.

In case of not seeing the Northern Lights on the tour

We wish we could, but we cannot control weather conditions or solar activity. Therefore we can not guarantee that you will see the Northern Lights. We are passionate and experienced Northern Lights hunters. We use a combination of our knowledge and determination to find clear skies and show you the Northern Lights whenever possible, however, the last word belongs to nature. There are no refunds or free trips in the case that we do not see the Northern Lights.

Before starting the tour our team will inform customers about the weather conditions and the chances of seeing the northern lights. Regardless of whether the chances are good or bad, if the customer agrees to take the tour after these explanations, the tour will be charged normally.

Wild Life Safari Warranty

Watching wildlife in Senja is wonderful, but there is no guarantee that animals will be seen. What we guarantee is that during the tour we will do everything possible to see them.

Although we have experienced guides who know the region and the habits of many of the animals found on the island of Senja, it is sometimes not possible to see these animals. When this happens, the client can be sure that he will pass through beautiful landscapes of the island of Senja during this tour.

Price

All the prices you can find on the website (senjaexperience.com) and they are in Norwegian Krone currency. The prices include everything that is listed and pointed out in the description of the tour. There are no hidden/extra fees added to the announced price.

Payments and Refunds

When you book a tour with us your card will be charged after you have entered the necessary information, accepted the terms and conditions and submitted your booking.

Senja Experience Obligations

  • Ensure that the necessary written documents/confirmations are given to you.
  • Ensure that you receive information of any changes made to your booking 

Our Product Owners’/Subsuppliers’ / Partners’ Obligations

  • Accountability for supplying the product you have purchased in accordance with its description
  • Compliance with applicable legislation and regulations
  • Checking proof of identity / passports where necessary, and the rejection of any travellers lacking the proper documentation 

The Customer’s Obligations

  • Make yourself familiar with our terms of cancellation.
  • Accept financial responsibility for all transactions made in your name
  • You must be over 18 years of age and have the capacity to effect legal transactions and incur liability
  • You warrant that all information about you and your party is true and accurate
  • Senja Experience AS must not be used to make speculative, false or fraudulent bookings
  • Obtain information about rendezvous times
  • Make sure that tickets and confirmations are in accordance with your booking as soon as confirmation is received
  • Bring valid identification/passport or visa
  • Observe the regulations given by product owners/suppliers/partners.
  • Do not inconvenience other travellers/participants
  • Do not damage the product owner’s/supplier’s/partner’s property – you may be liable to pay compensation

Alcohol and Drugs

Guests clearly under influence of alcohol or drugs will be refused entry to the tour with no rights to refund.

Guests clearly under influence of alcohol or drugs may be removed from the activity or bus and will be returned by separate transfer at their own costs to the pick-up point. Us of alcohol and drugs is not allowed in the bus or car.

The guests are liable for costs incurred due to wilful damage.

Tickets, Events, and Atractions

  • Cancellation of tickets for admission to events will not be refunded.
  • Lost tickets will not be replaced.
  • Admission to attractions/sightseeing will not be refunded.

Health

If you have any health issues or any medical condition please let us know.

We are flexible and more than happy to meet your needs, however, if we will decide that this tour is not suitable for you, we have a right to cancel. If that happens you will get a full refund. Remember to tell us about any health issues in the comment section in our booking form or by email immediately after making a reservation. We are not responsible for any consequence resulting from missing important information about the guest health.

Marketing

The Company reserves the right to use any photographs and video taken during tours for use in marketing or any other advertising material and the client hereby gives consent of such photographs to be used and for the company to retain copyright over such photographs to be used and for the Company to retain copyright over such material.

Photos and Videos

All photographs taken during our excursions might be published by Senja Experience AS. Unless differently agreed upon written request, the client acknowledges that all photographs taken during the tour can be publicly displayed.

Senja Experience AS does not sell the ownership nor the copyrights of an image, but only the license to use it. The re-distribution of our photos, or the use of our photos within products that are mass distributed in any type of archive format is not allowed without an extended or special license.

You may not lease, sell or re-distribute, publish or use for any commercial or public purpose any Senja Experience AS images unless an extended license for product resale or a special license with free rights for the image was purchased. You can use Senja Experience AS images for any personal projects without time, location, or number constraints.

All Senja Experience AS images are provided as downloadable JPG files.

We do NOT sell hard copies nor any kind of prints unless differently agreed upon private requests. Our Northern lights tours includes 3 (three) photographs from the excursion per person.

You are not allowed to use Senja Experience AS images in any way that places the photographer or people in the photo in a bad light. You are not allowed to use Senja Experience AS images in any manner that is considered libelous, slanderous, defamatory, obscene, indecent, or illegal.

Guests Responsibilities

The customer is responsible to inform us about any health issues or/and mobility limitations. Smoking is not permitted in our vehicles. Guests are also responsible for selecting the tour accordingly to their interests. We also demand that Norwegian law is respected.

Your Responsability

Our customers are responsible for selecting a trip that is suitable according to their interests and abilities. If there are any uncertainty about this, feel free to contact us.

Our customers are responsible for wearing the right kind of clothing and equipment adapted to our Arctic climate. We are thinking particularly of thermal underwear, warm shoes, mittens, scarf, and windproof outerwear. You do not need windproof clothing on our northern lights trips. The thermal suit is warm and windproof enough.

Use of gloves is not desirable for our winter trips, since we have not yet experienced a glove that can keep your fingers warm when it’s winter here in the north. If you are uncertain about, or need to discuss which clothes or other equipment to bring with you, just contact us. Our equipment are included in the price.

Our guides really appreciate that all our customers demonstrate good, respectful, and inclusive manner. We consider an open and friendly contact with other people, often from countries other than oneself, as an enrichment of any trip, and as a golden opportunity to increase knowledge and self-development. Dare to be open in relation to the others on the trip, and you will get a better experience.

Our customers are of course responsible for their own behavior. We demand that local laws are followed, and will not tolerate the use of illegal drugs, or any violation of Norwegian law. Smoking is not permitted in our vehicles.

Shortcomings

It is considered a shortcoming when what you receive deviates from what you have booked and had confirmed.

It is also a shortcoming when you are given insufficient or negligent information about conditions which would normally be of importance to the product you have booked.

The following circumstances are not considered shortcomings:

  • minor delays when travelling
  • deviations from normal weather, temperatures or other climatic conditions
  • circumstances resulting from the travellers own negligence.

Even though we have done what we can to ensure accuracy and availability, some errors may occur. When such occurrences are brought to our attention, we will do our utmost to ensure that you are notified within 3 working days after your reservation has been made. We reserve the right to cancel your reservation and refund the cost, needless to say without any liability befalling the customer.

In cases where the supplier cancels or makes changes to your reservation, we will do everything in our power to notify you as soon as possible.

Should the supplier be unable to fulfil your booking, you will have the option of accepting an alternative offer or cancelling your booking and receiving a full refund.

In cases where the supplier is unable to provide an alternative within three working days, we reserve the right to cancel your reservation and provide you with a full refund, without any other form of compensation.

Other General Terms

Senja Experience AS can accept no responsibility for accidents or damages (deaths and or other personal injuries) resulting in the discontinuation of all or part of a trip, provided that the damage was caused by no fault of ours or our suppliers.

Senja Experience AS can accept no responsibility for indirect losses or consequential damages of any kind in cases where products or services ordered via Senja Experience´s reservation service are not protected by Norwegian law.

Privacy

Our privacy guidelines are based on current Norwegian legislation regarding consumer protection and privacy.

Questions and Complaints in Conjunction with your Booking

Should you have any other enquiries or complaints in conjunction with your booking prior to your departure, please contact us by email at booking@senjaexperience.com Should you have any complaints with regard to a product owner/supplier/partner while on your trip, be sure to lodge your complaint immediately and officially with the relevant product owner/supplier/partner and make sure you receive a written confirmation before departing/checking-out.

If you have any other questions or complaints in conjunction with your booking or the actual product itself, you may contact us on your return home, no later than 30 days after the event took place. State your booking reference and/or forward all relevant information in writing.

Modifications and Errors

Our web site may be subject to modifications and errors without notice.

The information provided may be subject to changes that have occurred after it was published. We can accept no responsibility for any clerical errors.

Insurance/cancelation Insurance

We recommend all our customers to make sure they have satisfactory insurance arrangements prior to their trip.

IMPORTANT:

Price: For all tours, Senja Experience will pick you up from your accommodation in Finnsnes or Senja. We have two different price points: one is for pickup from Finnsnes, which includes 25km around Finnsnes. The other is for pickup from Senja. Choose the best option for you!

Number of participants: min. 2 and max. 7 people for all tours with pickup from Finnsnes. On the day of the tour, if there is only one person signed up for the tour, it will be cancelled unless this person pays for 2 people. For pickup from Senja the minimum is 3 people.
